Built-in machines are plumbed appliances
A built-in coffee machine set into cabinetry has a water connection, a drain path and a housing it must come out of to be serviced. That is a different appointment from a countertop machine and is booked as one.
The joinery is part of the job. Drawing the machine out and putting it back aligned takes time, and the visit is priced with that time in it rather than without.
Descaling is the whole trade in miniature
Almost everything that goes wrong with a coffee machine comes back to water. Scale narrows the flow path, insulates the heater and stiffens the seals, and the machine reports it in half a dozen different ways that all look like separate problems.
So the first thing we do is establish where the machine is in its descaling cycle. On a good share of visits the answer is the entire repair, and we would rather tell you that than sell a pump.
Wear parts, and knowing the difference
Burrs, seals, the brew group gaskets and the water filter are consumables with a service life. They are not breakdowns and they should not be quoted as though they were.
We separate the two on the invoice, so you can see what was worn out on schedule and what actually went wrong. On these machines that distinction is most of the bill.

The machine will not build pressure
The pump, the pressure relief valve or a brew group that is no longer sealing. All three produce weak coffee and a machine that sounds like it is working, and telling them apart takes a pressure reading rather than a taste test.
Water is not reaching the group at all
Scale. On a built-in machine that has gone past its descaling interval the flow path narrows until nothing gets through. Descaling is the repair here far more often than any component, and the machine usually recovers completely.
The grinder is running but nothing is coming out
Either the burrs have worn past their usable life or oily beans have bridged the chute. On a machine that grinds fresh for every cup, burrs are a wear item with a service life, and replacing them is maintenance rather than a breakdown.
The brew group will not return to its home position
A motor, a gearbox or a lubrication problem, and on a removable group it is often simply a group that has not been cleaned and re-greased in a long time. This is one of the most common calls on built-in machines and one of the least expensive to put right.
Coffee coming out lukewarm
The thermoblock or the boiler is scaled, or the sensor controlling it is drifting. Both are readable and both are cheaper to deal with early, because a heating element working against a shell of scale eventually gives up altogether.
Water leaking underneath the machine
Silicone seals inside the flow path harden with heat and age. They are inexpensive service parts and they are supposed to be replaced periodically; a leak underneath is usually a maintenance interval that has been missed rather than a broken appliance.

How often should a built-in machine be descaled?
Whenever it asks, and sooner where the water is hard. Ignoring the prompt is behind the majority of coffee machine calls we take: scale narrows the flow path, insulates the heater and stiffens the seals, and the machine then reports it as half a dozen separate problems. On the first visit we check where yours is in that cycle before touching anything else.
Can I take the brew unit out and clean it myself?
On most machines with a removable group, yes, and you should. Rinsing it weekly and greasing it with the correct food safe lubricant every few months prevents the most common repair on these appliances. Machines with a fixed group need a technician for that, and it is worth booking rather than improvising.
Eight years old and it needs work. Worth it?
Usually yes, if it is a built-in machine. These were expensive to buy, they are supported for a long time, and the parts that wear are seals, burrs and gaskets rather than anything structural. A countertop machine at the same age is a closer call, and we will give you the figures rather than an opinion.
